Month end at most small and mid-sized businesses looks the same. Someone downloads an M-Pesa statement, two bank statements and a till report. They open last month’s spreadsheet. Then they start matching, line by line, payment to invoice.

It takes days. And it is usually blamed on the accountant.

Accountants are not the problem

The person doing reconciliation is rarely slow. They are working with data that arrives in three to six different formats, from systems that do not know about each other. A customer pays an invoice to the till. The till statement has an amount and a phone number. The invoice has a name and an invoice number. Nothing links them except a person’s memory.

Every line that does not match is a phone call. Every phone call is a delay. Multiply that by a few hundred transactions and month end becomes a week.

Fix the input, not the person

Reconciliation gets easy when the data is already joined up before anyone looks at it. That means:

  • Every collection and payout in one ledger, regardless of which paybill, till or bank it went through.
  • Each payment tied to what it was for at the moment it happens. When a customer pays through an invoice’s payment link or prompt, the invoice marks itself paid.
  • Payouts carrying their purpose. Spend categories like payroll, rent or suppliers are attached when the money goes out, not guessed later.
  • Your accounting system kept up to date automatically. Invoices, payments and expenses post into Zoho Books as they happen.
